Privacy Policy
Last updated: November 5, 2026
DispatcherOral is a practice tool that lets you rehearse your FAA Aircraft Dispatcher practical (oral) test out loud and get a report. This Privacy Policy explains in plain language what information we collect, why we use it, and the service providers involved.
DispatcherOral uses an AI examiner, not a human examiner. AI systems are used during the session to select follow-up questions and afterwards to help generate your practice report.
DispatcherOral is made by the team behind DMEReady and is operated by Smart Hub LLC. If you have any questions, contact us at hello@dmeready.com.
What we collect
- Your email address, if you create an account or ask for your report by email. We send a one-time sign-in link and use your email to keep track of your account, your reports, and your pass. You can try a free drill without an account.
- Your practice sessions. Your spoken answers are turned into text while the session runs. We keep that text, the questions you were asked, your results and report, your exam date and first name if you choose to enter them, the codes from your knowledge test report if you enter them, and any items you add to your study list. We don't keep an audio recording of your answers.
- Your profile. Your name, exam date and the knowledge test codes you enter are saved to your account, so they follow you to any device. You can change or clear them in your profile at any time.
- A random device identifier and your IP address, used to enforce free-drill limits, prevent abuse, and help protect the service.
- Messages you send us. If you use the "Ask us" box or the instructor account request form on our website, we receive your email address and your message, plus any details you add (such as your name, school, role and class size), so we can reply and set up a school pilot. The message goes to our team's inbox and to our team's chat notifications (Telegram); we don't store it in the app.
- Study plan emails. If you ask us to email the study plan you built from your knowledge test codes, we keep your email address, those codes, and when you asked, so we can send you that plan and two short follow-up study tasks (3 emails over 7 days). We don't link this to a DispatcherOral account and don't use it for anything else. Every one of these emails has a one-click unsubscribe link; when you use it, we delete your email address and codes right away. Otherwise we delete them 30 days after the last email.
- Technical information. Like most online services, DispatcherOral and its hosting and security providers may receive technical information such as your IP address, browser or device information, request timestamps, and similar service logs. With each practice session we also save the general type of device and browser you used (for example "phone, iOS, Safari"), so we can make sure the examiner works well on it. We don't save the full browser identifier. When you start a session, the app also tells us your device's time zone so the examiner can greet you for the time of day ("Good morning", "Good evening"); we use it only for that and don't save it. During a session, the app also records technical session events, such as whether the page was in the background, whether the microphone or speaker was interrupted, connection changes, and audio signal statistics (numbers such as packet counts and levels, never the sound itself). We use them only to find and fix problems, such as sound cutting out, and keep them with the examiner's session records.
- Usage statistics and visit recordings. How the website and app are used, so we can see what works and fix what doesn't: where a visit came from (for example a search engine, an ad, or a link someone shared), which pages were viewed, which buttons were clicked, which steps you reached (for example opening the written-test codes offer, how many codes you entered, starting or finishing a practice session, creating an account, opening checkout; never the codes or words themselves), and recordings of the visit on screen (mouse movement, scrolling, taps and clicks). Text you type into forms is hidden in these recordings, and your spoken answers, name and email are masked. They don't include audio. To connect the pages of one visit, a small analytics cookie and browser storage are kept on your device. Visitors in Europe are asked first and are not recorded unless they allow it. You can turn recordings and visit tracking off at any time: .
- Feedback you choose to give. Answers to the optional question under your report and to occasional in-app surveys. If you answer a survey question by voice, the recording is turned into text by Deepgram and then discarded; we keep only the text. We quote you on our website only if you tick the box that allows it, and only with your first name.
- Payment information. If you buy a pass, your payment is handled by Stripe. We do not receive or store your full card number; payment details are handled by Stripe. We give Stripe your account email so it can send your receipt, and we keep a record of each purchase on your account: which pass, the amount, when it started and ends, Stripe's reference numbers for the payment, and whether it was refunded. If you ask for a refund in the app, we record when you asked and send our team a notification (via Telegram) with your account email, the pass, when you bought it and how many sessions you have started since, so we can process it. We keep these records for as long as we need them for accounting, refunds and tax. If you use a partner code (for example from a YouTube channel), we record the code with your purchase so we can count the partner's referrals; we do not give the partner your name, email or results.
- Pilot links. If you sign up through a DispatcherOral pilot link or join a pilot when you start a purchase, we record which pilot you joined and when, so each account gets one free pilot and we can stop the pilot when it is full or over. Your free access is recorded on your account like any other access period and ends on its own; you are not charged.
We do not use advertising trackers, and we do not sell your information.
Why we collect it
- To run your practice session and let you speak with the examiner.
- To generate your report and let you review your past mocks and study list.
- To manage your account, your free drills, and your pass.
- To send the study plan emails you ask for.
- To understand how the website and app are used and improve them.
- To learn from your feedback and survey answers what to fix, and to add any survey thank-you days to your pass.
- To process payments, and to keep free drills within their limits and protected from automated traffic.
If EU or UK data-protection law applies to you, we generally process information because it is necessary to provide the service you request or perform our agreement with you; because we have legitimate interests in operating and securing DispatcherOral, preventing abuse, and enforcing free-drill limits; or because we need to comply with legal obligations.
Who helps us run the service
To deliver the service, we use the providers below. Depending on the service, they may process information on our behalf or for their own purposes under their applicable privacy terms.
- LiveKit carries the live audio between your browser and the examiner during the session.
- Deepgram turns your spoken answers into text in real time. We have opted out of Deepgram's program that uses customer audio to improve its models.
- Cartesia produces the examiner's voice. If you enter your first name, it is used to greet you at the start of the session.
- Anthropic (Claude) reads the text of your answers during the session to choose the examiner's next follow-up question, and afterwards to generate your evaluation and report.
- Supabase stores your account, your session transcripts, and your results.
- Stripe processes payments.
- Resend sends the emails you ask for, such as "your report is ready" and study plan emails, and delivers "Ask us" messages to our inbox.
- Telegram delivers "Ask us" messages and service alerts to our team as notifications.
- Cloudflare runs a check (Turnstile) that tells real visitors apart from automated traffic before a free drill starts.
- Cloudflare also stores our encrypted nightly database backups (see "How long we keep it").
- PostHog collects the usage statistics and visit recordings described above.
- Render and Vercel host the application and the website.
These providers may process and store data on servers located in the United States or other countries. If you use DispatcherOral from the EU, the UK, Turkey, or elsewhere, your information may be transferred to and processed in those countries. Where applicable law requires safeguards for international transfers, we rely on the transfer mechanisms made available under applicable data-protection law and by our service providers.
Sharing with your instructor (classes)
If your school or instructor uses DispatcherOral, you may be given a class code. Joining a class is optional. If you join, you agree that the instructor of that class can see your name, email address, exam date (if you entered one), your practice sessions and reports from the day you join, and your progress by topic. Practice from before you joined is shared only if you tick a separate, optional box when you join. Instructors cannot see your study list and cannot edit your reports. We do not store audio.
You can leave a class at any time from your account page. When you leave, the instructor immediately loses access to your information, including past reports. We keep a record of when an instructor viewed your reports. Your account page shows when your instructor last opened your practice, and you can ask us for the full record.
Some classes are part of a DispatcherOral pilot. If you join a pilot class, you get free practice access until the pilot's end date, shown when you join; we record that free access on your account like any other access period. When the pilot ends, the free access ends; your account, reports and practice history stay, and you are not charged automatically.
Your instructor can give the class practice assignments (a topic and a due date). You see them on your home screen; if you haven't done one, we send you one reminder email the day before it's due (you can turn these emails off). Your instructor can also mark a result in one of your shared reports as "agree" or "disagree" and add a short note. You see that note in your report; the AI result itself is not changed. We read these marks to improve our scoring. Instructors get a weekly email with class totals only (no student names or answers).
Instructor accounts are created by DispatcherOral on request from a school or instructor. We do not share student information with anyone else at the school. If a school asks us to delete its class, we delete the class records (the class, its member list, assignments, and instructor marks and notes) within 30 days; your own account and reports are deleted only if you ask.
How long we keep it
We keep account-linked transcripts, results, reports, and study-list information for as long as your account remains with us, unless you ask us to delete it. We may keep limited information longer where reasonably necessary for security, fraud prevention, legal obligations, accounting, or resolving disputes.
If you take a free drill without an account, we keep that practice session and report, and the device identifier and IP address used for free-drill limits and abuse prevention. You can ask us to delete them.
We don't store recordings of your voice. The text of your answers is kept with your report.
Study plan email details (your email address and codes) are deleted as soon as you unsubscribe, or 30 days after the last email in the series.
We make an encrypted backup of our database every night and keep each backup for up to 35 days, so we can recover your account if something goes wrong. If you ask us to delete your information, it disappears from the backups as the older ones expire, within 35 days.
When you download a report as a PDF, we keep that file (which shows your name) on our server for up to 2 days so repeat downloads are fast, then delete it.
Your browser also keeps a small record on your device (your practice history and choices) so the app can show your progress. You can clear it by clearing this site's data in your browser.
You can ask us to delete your account and the personal information we control, subject to information we need to keep for legal, security, fraud-prevention, accounting, or dispute-resolution purposes.
Your choices
You can ask us to:
- see what information we hold about you,
- correct it,
- delete your account and associated personal information,
- get a copy of it, or
- stop using your information for a particular purpose. You can also close your account at any time.
To make any of these requests, email hello@dmeready.com and we will help.
