School privacy and pilot terms
Last updated: November 5, 2026
This page is for program directors, instructors and IT staff reviewing DispatcherOral for an aircraft dispatcher course. It sums up what we collect from students, what an instructor sees, how long we keep it, and how a free class pilot works and ends. The Privacy Policy is the full text students agree to; this page does not change it. It is not legal advice.
At a glance
- Students choose. Joining a class is optional. Nothing is shared with an instructor until a student joins the class and agrees on the consent screen in the app. Students can leave a class at any time.
- We don't store session audio. Spoken answers are turned into text while the session runs. We keep that text and the report, not a recording.
- Nothing to connect. There is no IT setup. Students create their own accounts, and DispatcherOral does not connect to your school's systems.
- Practice feedback, not grades. The AI examiner can misjudge an answer. Use the reports as practice feedback, not as grades or as a readiness sign-off. You make that call.
- We don't sell student information, and we don't share it with anyone else at the school.
What we collect
From students:
- their email address, to sign in and keep track of their account;
- their practice sessions: the questions asked, the text of their spoken answers, their results and reports;
- if they choose to enter them: their name, exam date, and items they add to their study list;
- usage statistics and visit recordings (clicks, scrolling and taps on screen). Text typed into forms is hidden, spoken answers, names and emails are masked, and no audio is recorded.
From instructors: the name and email address on the instructor account, class names, assignments, and any "agree" or "disagree" marks and notes on students' results.
What an instructor sees
When a student joins your class and agrees, you can see:
- the name and email address they share, and their exam date if they enter one;
- their practice sessions and reports (the same reports they see, including the text of their answers) from the day they join. Earlier practice is shared only if they tick a separate, optional box;
- their progress by topic, and the questions marked "to review".
Instructors cannot see a student's study list, cannot change reports, and cannot practice as the student.
An instructor can mark a result "agree" or "disagree" and add a short note. The student sees the note in their report; the AI result is not changed. We read these marks to improve our scoring.
You can give the class practice assignments (a topic and a due date). A student who hasn't done one gets one reminder email the day before it's due, and can turn these emails off.
You can download a CSV practice summary of your class (not grades). A downloaded summary is a separate copy, so handle it under your school's student-data policy. Instructors also get a weekly email with class totals only, no student names or answers.
We record each time an instructor opens a student's practice. The student's account page shows when their instructor last opened it, and the student can ask us for the full record.
How long we keep it
| Information | How long |
|---|---|
| Session audio | Not stored. It is carried live during the session only. |
| Answer text, results and reports | While the student's account is open, unless the student asks us to delete them. |
| PDF copies of reports | Up to 2 days on our server, then deleted. |
| An instructor's access to a student | Ends immediately when the student leaves the class, including access to past reports. Leaving cannot recall copies an instructor has already downloaded. |
| Class records (the class, its member list, assignments, and instructor marks and notes) | Until the school asks us to delete them. We delete them within 30 days of the request. |
| Nightly database backups (encrypted) | Up to 35 days. Deleted information disappears from the backups as the older ones expire. |
Deleting a class does not delete students' accounts or reports; students can ask us to delete their own data at any time. We may keep limited information longer where reasonably necessary for security, fraud prevention, legal obligations, accounting, or resolving disputes.
Security
- Students and instructors sign in with Google or with a one-time link we email them. There are no passwords to manage.
- Connections to the website and the app are encrypted (HTTPS), and live session audio is carried over encrypted WebRTC.
- Class information can only be reached through our server, which checks that the instructor owns the class and that the student is still a member before returning anything.
- Instructor accounts are created by us, on request from a school or instructor.
- To report a security concern, email hello@dmeready.com. A person reads every message.
Who helps us run the service
LiveKit (live audio), Deepgram (speech to text; we have opted out of its program that uses customer audio to improve its models), Cartesia (the examiner's voice), Anthropic (Claude: choosing follow-up questions and generating reports), Supabase (accounts, transcripts and results), Stripe (payments), Resend (email), Telegram (our team's service alerts and notifications of messages sent to us), Cloudflare (Turnstile, which tells real visitors apart from automated traffic, and storage for our encrypted nightly backups), PostHog (usage statistics and visit recordings, with typed text hidden and spoken answers, names and emails masked), and Render and Vercel (hosting). These providers may process data in the United States or other countries. Details are in the Privacy Policy.
How a pilot works
- One cohort of up to 20 students, for the 14 days before their practical test. We agree the cohort and dates with your school before students start.
- It is free for your school and for the students in the pilot cohort. Students see the pilot end date on the screen when they join, and their free practice access lasts until that date.
- There is nothing to install, no IT setup and no contract. Students need a phone or computer with a web browser, internet access and microphone permission. Headphones and a quiet spot help.
- Practice is spoken: students answer the examiner out loud, on their own time. There is nothing for instructors to grade.
- Students can leave your class at any time, which ends your access to their practice.
When the pilot ends
- Students' free access ends on the pilot end date. Their accounts, reports and practice history stay. A student who wants to keep practicing can buy a pass.
- No one is charged automatically. If your school wants to continue, it is $249 per course run. There is no contract: you decide whether to continue.
- You keep the class view. Students can still leave the class at any time, which ends your access immediately. If your school wants the class removed, ask us and we delete it within 30 days.
